Cancellation & Refund Policy

We know how much a trek means to you.

Every adventure begins long before you reach the mountains — with early morning workouts, careful planning, leave approvals, travel bookings, and the quiet excitement that builds up over weeks or even months. So when a trek has to be cancelled — whether by you or due to unforeseen circumstances — it can feel deeply disappointing.

Because we are trekkers ourselves, we truly understand that feeling.

That’s why we’ve designed a cancellation policy that is transparent, fair, and considerate — one that respects both the effort you put into preparing for your trek and the realities of organizing safe mountain experiences.

This document constitutes the legally binding Cancellation, Rescheduling, Suspension, Add-On and Refund Policy of Campora Adventures (Registered) (“Campora Adventures”, “we”, “us”, “our”).

By registering for any trek, service, rental, transport, or add-on offered by Campora Adventures, you (“Participant”, “you”, “your”) agree to be bound by this policy.

All cancellation timelines are calculated based on the scheduled trek start date.

1. Standard Trek Cancellation Policy (By Participant)

Cancellation requests must be made through your Campora Adventures dashboard. Cancellation is effective only upon system confirmation.

Notes:

• Processing charges, gateway fees, insurance, and add-ons are non-refundable unless expressly stated.

• Refunds will be processed to the original payment method within 4–7 working days.

• If a voucher was used, applicable cancellation deductions will apply. Any remaining balance (if valid) will stay credited. Expired vouchers will not be extended or refunded.

2. Rescheduling Policy

Participants may request a change of batch/date subject to availability.

Conditions:

• First reschedule: No charge (if requested 7+ days before trek start).

• Second reschedule: 20% of trek fee charged, irrespective of timeline.

• Rescheduling within 7 days of trek start: Not permitted.

• If rescheduled trek costs less → difference issued as voucher (valid 1 year).

• If rescheduled trek costs more → difference must be paid within 24 hours.

• Once rescheduled, cancellation will not result in a refund (voucher only, if applicable).

• Add-ons (transport, offloading, rental gear, etc.) do not automatically transfer and must be rebooked.

3. Suspension or Cancellation by Campora Adventures (Force Majeure)

Campora Adventures reserves the right to suspend or cancel a trek due to circumstances beyond reasonable control, including but not limited to:

• Extreme weather (heavy snow, rain, storms)

• Landslides, floods, earthquakes

• Wildlife risk

• Political unrest, curfews, riots

• Government orders, permit withdrawal

• Pandemics or lockdowns

• Any safety-related contingency

If Trek Is Suspended Before Start:

• A Trek Voucher equal to the trek fee (minus insurance) will be issued.

• Voucher validity: 12 months.

If Trek Is Abandoned After Crossing First Campsite:

• No refund or voucher.

• Participant may reattempt the same trek under Trek Again Policy (if eligible).

Important Note:

No voucher will be issued if you descend from the trek due to:

• Lack of fitness

• Failure to maintain turnaround time

• Altitude sickness or health concerns

• Injury

• Disciplinary reasons (smoking, drinking, breaking trek rules)

• Personal choice

4. Alternate Trek Offer

If a scheduled trek cannot operate, Campora Adventures may offer an alternate trek.

• If alternate trek costs less → difference issued as voucher.

• If alternate trek costs more → participant must pay the difference.

• If participant declines alternate → voucher (minus insurance) issued.

5. Cancellation Due to Lack of Fitness

Participants are responsible for meeting the published fitness criteria.

If Campora Adventures determines that a participant:

• Fails to meet fitness requirements,

• Poses risk to self or group,

• Withdraws voluntarily due to lack of preparedness,

The Standard Cancellation Policy applies. No special refund or voucher will be issued.

Trekking is a team sport. Your preparedness impacts the entire group.

6. Trek Again Policy

Eligible participants who descend due to medical or safety reasons may repeat the same trek once without additional trek fee.

Conditions:

• Participant must re-register and pay full fee.

• Refund processed after successful completion of repeat trek.

• Not applicable to:

  • International treks

  • Themed/special category treks

  • Promotional or collaborative programs

• Not valid if cancelled/rescheduled within 20 days of repeat trek.

• Subject to approval and internal verification.

Campora Adventures reserves the right to modify or withdraw this benefit.

7. Backpack Offloading Policy

• Cancellation before trek start or at base camp: 96% refund (4% transaction fee deduction).

• Cancellation during trek: No refund.

• Early descent: No refund.

8. Rental Gear Policy

Cancellation:

• 72+ hours before trek start → 96% refund.

• Less than 72 hours → No refund.

Damage or Loss:

• Charges as per internal damage slab.

• Deducted from deposit or payable at base camp.

No refund:

• If trek has commenced.

• If participant descends early for any reason.

Rescheduling of gear rentals is not permitted. New booking required.

9. Transport Policy

Cancellation:

• 72+ hours before departure → 96% refund.

• Less than 72 hours → No refund.

Additional Terms:

• Missed departure due to delay → No refund.

• Emergency evacuation transport cost → Participant bears additional expense.

• Misconduct → Immediate removal; no refund.

Transport bookings are non-transferable.

10. No Show Policy

Failure to report at designated pickup/base location on time will be treated as a No Show. No refund or credit will be issued.

11. Refund Processing

Approved refunds are processed within 4–7 working days to the original mode of payment. Processing timelines may vary depending on banking partners.

12. Limitation of Liability

Campora Adventures shall not be liable for indirect, incidental, consequential, or special damages arising from trek cancellation, suspension, rescheduling, or force majeure events.

All decisions regarding safety, fitness eligibility, route modification, or trek suspension are final and binding.
